The Graduate Medical Education (GME) Department of the Keck School of Medicine (KSOM) of USC is seeking a GME Project Specialist to join its team. The GME Project Specialist is tasked with a range of administrative duties aimed at facilitating the effective functioning of KSOM's GME program. The role is key with ensuring that trainees benefit from exceptional educational opportunities that adhere to regulatory requirements and institutional guidelines.

Accountabilities:

  • Administering the day-to-day operations of KSOM’s GME office, including assisting the DIO and Institutional Coordinator with compliance with Institutional Requirements (accreditation standards) of the ACGME, assist with institution orientation coordination, and assist in coordinating any institution wide education activities.

  • Assisting programs with relevant institution information required for prospective residents and fellows.

  • Assisting the DIO with the development of new residency programs sponsored by KSOM including coordinating submission of program applications to the ACGME.

  • In collaboration with the institutional coordinator and DIO help administer the New Innovations GME software and assist programs with its use.

  • Act as a resource, collaborating with program directors and program coordinators to develop and implement institutional wide educational curricula.

  • Act as a liaison from KSOM to our participating residency sites, serving as a resource and problem solve as issues arise.

  • Providing support and guidance to residents and fellows throughout their training, addressing concerns or issues related to their educational experience, wellness, and professional development.

  • Serving as a liaison between GME program leadership, trainees, faculty members, and other stakeholders, with KSOM GME leadership facilitating effective communication and collaboration among all parties involved.

    Well qualified candidates will possess the following skills and background:

  • Experience in central or corporate management office environments.

  • Two to three years’ work in an academic healthcare environment.

  • Excellent written and spoken communication skills.

  • Excellent skills in Microsoft Word, Excel and PowerPoint.

  • A positive can-do attitude.

  • Willingness to help others and work collaboratively.

  • Great attention to detail.

  • Ability to track multiple projects and follow-ups simultaneously.

Salary Range: The hourly rate range for this position is $29.44 - $37.00. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational consideration.

Minimum Education: Bachelor's degree. Combined experience/education as substitute for minimum education.

Minimum Experience: Two (2) years of administrative experience, preferably in graduate medical education, healthcare administration, healthcare regulatory compliance, or academic medicine.

Knowledge of : The basic functions, regulations, and requirements of residency programs and medical staff operations, Accreditation Council for Graduate Medical Education requirements, American Association of Medical Colleges (AAMC) Graduate Medical Education services, AAMC Electronic Residency Application Service, and FREIDA residency matching electronic system; functions and basic clerical operations of an administrative office; modern office methods and practices, including filing systems, business correspondence, receptionist techniques, report writing, and correct English usage, grammar, spelling, vocabulary, and punctuation; credentialing and privileging rules and guidelines of the ACGME.

Ability to : Apply administrative and departmental policies related to credentialing and privileging; understand and follow complex directions, both oral and written; take responsibility and use good judgment; compose correspondence independently; keep complex records and prepare reports; meet with stakeholders in a professional manner; effectively organize various activities of resident physician programs.
